Payroll Requirements

For Students Receiving a Graduate Assistantship

  • Payroll Forms for Graduate Assistantships: You must complete Section 1 of the I-9 Form in Workday no later than the first day of work (i.e., August 25, 2026, if you matriculate in the fall term). You will receive a task in your Workday Inbox Actions Tab to complete your I-9.
    • When you first arrive on campus or by August 25, 2026, at the latest, you will need to provide the original form(s) of identification to be used for your I-9 verification (see webpage for the list of acceptable documents) to the Academic Affairs Finance & Program Administrator.
    • Depending on when you submit your forms and have your documents verified, your first paycheck could be delayed as late as October 1. 
  • Complete the federal (W4) and state (VA-4) tax forms in Workday. Instructions on completing these steps can be accessed on the W&M Payroll webpage. If you are not employed at VIMS during the term prior to matriculation, you will only receive access to the tax forms in WorkDay after your I-9 documents have been verified.
  • To setup direct deposit, you must complete banking information in WorkDay by selecting Payment Elections in the Pay tab of the employee profile. If you are not employed at VIMS during the term prior to matriculation, you will only receive access to the Workday after your I-9 documents have been verified. 
  • Update your address in Workday for your residence in Virginia. If you have not setup direct deposit, you will receive your first paycheck in the mail.

  • Obtain the proper immigration status. The Reves Center issues I-20 and DS-2019 documents for students in W&M's Batten School & VIMS graduate programs. By May 1, students will receive an email from iStart which will link them to an online request form for the I-20 or DS-2019. The process is outlined on the Visa Information page of the W&M website. The deadline to finalize immigration requests with the Reves Center for International Studies is June 15 (for Fall admission).
  • Social Security Cards. Once you have obtained a social security card, bring the original document to the [[registrar, Batten School Registrar]] in Watermen's Hall (Room 246) for verification.
