Payroll Requirements
For Students Receiving a Graduate Assistantship
- Payroll Forms for Graduate Assistantships: To be set up on the payroll, you must complete the online I-9 form (enter employer code: 14621 to access the site) with the employment start date of August 25, 2024.
- When you first arrive
on campus or by August 25, 2024, at the latest, you will need to provide the original form(s) of identification to be used for your I-9 verification (see I-9 website for the list of approved documents) to the Academic Affairs Finance & Program Administrator. - Depending on when you submit your payroll forms, your first paycheck could be delayed as late as October 1.
- When you first arrive
- Complete the federal (W4) and state (VA-4) tax forms in Employee Self-Service in Banner. Instructions on completing these steps can be accessed on the W&M Payroll webpage. If you are not employed at VIMS during the term prior to matriculation, you will only receive access to the tax forms in Banner after your I-9 documents have been verified.
- Complete the direct deposit authorization form via Employee Self-Service in Banner. If you are not employed at VIMS during the term prior to matriculation, you will only receive access to the direct deposit authorization in Banner after your I-9 documents have been verified.
- Update your address in Banner for your residence in Virginia. Your first paycheck may be mailed to you and it will be sent to the address listed in your Personal Information section in Banner.

International Students:
- Obtain the proper immigration status. The Reves Center issues I-20 and DS-2019 documents for students at VIMS and W&M. By May 1, students will receive an email from iStart which will link them to an online request form for the I-20 or DS-2019. The process is outlined on the Visa Information page of the W&M website. The deadline to finalize immigration requests with the Reves Center for International Studies is June 15 (for Fall admission), December 5 (for Spring admission), and April 15 (for Summer admission).
- Social Security Cards. Once you have obtained a social security card, bring the original document to the [[registrar, SMS Graduate Registrar]] in Watermen's Hall (Room 247) for verification.
