AUDIO-VISUAL POLICY
VIMS/SCHOOL OF MARINE SCIENCE
EFFECTIVE SEPTEMBER 1, 1997

All audiovisual equipment in the auditorium may only be signed out to, and run by, a designated pool of students who are on a workship. All seminars and programs requiring audiovisual equipment will be assigned a workship student to run this equipment. The procedure is as follows:

  1. An AV request form (Attachment A) will be submitted to the Special Events Coordinator (Sarah Hamrick) at least 7 days prior to the date the equipmentis needed.
  2. The workship student running the AV equipment will be given a preseminar checklist (Attachment B) along with the equipment from Louise Lawson. He or she tests the equipment and completes the checklist, which is retained until after the seminar or program.
  3. The workship student meets with the presenter 30 minutes prior to the event to test equipment compatibility, sound and that the needs of the speaker will be met.
  4. The workship student runs the equipment during the presentation, and troubleshoots if necessary.
  5. A postseminar checklist (Attachment C), located on the back of the preseminar checklist, is completed by the workship student after the event, noting that all equipment signed out has been returned to Louise Lawson. The equipment should be turned off and in proper working condition. Louise Lawson submits these checklists to Sarah Hamrick upon completion of the event.

The exception to these rules is the core course teaching assistants who will need to run the equipment. He or she must be trained as if they were an AV workship student, otherwise equipment will not be released to them.

Workship students will be trained on all equipment, and assigned three months in each year during which they will be "on call." Students assigned to a particular month must be prepared to assist speakers during that time by checking out, running, and returning equipment. If a student is unable to fulfil this oblication, it is his or her responsibility to find another trained student to fill in, and to notify Sarah Hamrick upon completion of the event.

Sarah Hamrick (x7101) maintains a current list of AV-qualified workship students. Prospective speakers should contact Sarah as early as possible in order to identify the student to run the equipment.
