Copiers are now Multi-Function Machines:

The current Venda Card system on our copiers is no longer available for purchase or service. As a replacement for the VendaCard system, we are moving to an automated platform, called Equitrac to charge for the copies and prints. A primary benefit of this new platform is that Equitrac will automatically charge your Banner index, eliminating the need for vendacards. There are NO CHANGES for the cost of copies and prints. They are $.05 for black and white and $.30 for color. Scanning is free. Directions on how to use the multi-function machines (MFM) will be posted at each location.

We have purchased several RICOH multi function machines (MFM) through the Virginia State Contract. These digital machines are on our network available for printing, scanning and copying, either through walk up or from your desktop. 

Currently, these machines are in the following locations:

- Copier Room in Watermen’s Hall
- Student Lab in Watermen’s Hall
- Library
- 1st and 3rd floors of Chesapeake Bay Hall
- Each floor of Andrews Hall
- Customer Service Center

The current black and white and color wax printers in the Student Lab in Watermen’s Hall are going to be removed by October 1, 2007. The new MFM is in place and can be used at anytime. All the machines in the Watermen's Hall Student Lab have had the client software installed so you can print from the desktop.

Employee access:
 
Every individual who has a Banner ID# (this is your 93XXXXXXX number on your W&M ID card) and is approved to charge their copies and prints to E&G funds will not need to take any further action.

Business Approvals

E&G (General funds) - Approval from the Departmental Budget Manager.

Grant - Approval from the Principal Investigator, Budget Manager, and Sponsored Program Administrator. Click here for the approval form.

Students and anyone wanting to set up a personal account will need to pay the VIMS Cashier in advance prior to using the new MFM’s.

This process is very similar to the request for venda cards on the old system. You just don’t have to keep up with the venda card. Monthly reports will be sent to your Budget Manager which tracks the usage of their indexes.

DIRECTIONS ON THE USE OF THE MACHINES WILL BE POSTED AT EACH LOCATION

Desktop Client Software:

Users will need to place a Help Desk Request for the client software installation through ITNS if they wish to print from their desktop, via the VIMS network. The software cost is $30.00. You will then be able to customize your print job from your desk, i.e., print two-sided documents, sort, staple, book bind, hole punch, etc. There is also a locked-print feature that allows you to hold the work as confidential work until you go to the machine and release the print job. This feature will also allow you to spool print jobs to the MFM and pick them up at your convenience. The cost is the same, $.05/ per B/W and $.30/per color copy or print.

Existing VendaCards:

The Library MFM will only be accepting venda cards through October 1st. All of the older canon machines will keep the venda card boxes, but as they malfunction we will be taking them out of service. Please use your existing venda cards on these machines as often as possible so you can deplete your balance of copies.

Training

Training will be scheduled between now and the 1st of October. We will advise you of the dates and times as soon as they are confirmed.
